Privacy Policy

Last updated November 3, 2026

This policy explains what personal information The Gym Connect collects, why we need it, who we share it with and the choices you have. We collect only what it takes to run bookings between coaches and venues safely.

01What we collect

Information you give us. When you sign up: your name, email, phone number, country, city and how you will use The Gym Connect. Coaches may add a profile, specialties and certifications; venues add business details, addresses, listing photos, prices and availability.

Information created as you use The Gym Connect. Searches, saved spaces, bookings, messages, reviews, disputes and the payment and payout records that go with them.

Technical information. Your IP address, browser and device type, collected when you sign in and used to keep your account secure.

02How we use it

  • To run your account and the bookings you make or receive.
  • To take payments, issue refunds and pay venues.
  • To send booking confirmations, reminders and messages you have asked for.
  • To keep the marketplace safe: verifying accounts, preventing fraud and abuse, and moderating listings and reviews.
  • To understand what works and improve the service.

03Who we share it with

We do not sell your personal information. We share it only:

  • With the other side of a booking. A venue sees the booking details and the coach's name; contact details are shared once a booking is confirmed. Until then, email addresses and phone numbers are removed from messages.
  • With service providers who work for us: our payment processor (which handles card details, so that The Gym Connect never stores full card numbers), email delivery, file storage and hosting.
  • With map services. Map tiles are loaded from OpenStreetMap, and venue addresses are looked up to place them on the map.
  • When the law requires it, or to protect the safety of people using The Gym Connect.

04What is public

Listings, venue profiles and reviews are public. A coach profile is public only if you choose to make it so in your profile settings, and you can hide it again at any time. Verification documents, dispute evidence and message attachments are never public.

05Cookies

We use a single essential cookie to keep you signed in. It is needed for the service to work and is removed when you sign out. We do not use advertising cookies.

06How long we keep it

We keep your information while your account is open. Booking, payment and tax records are kept for as long as the law requires after that, typically up to seven years. Other information is deleted or anonymised when it is no longer needed.

07Your choices and rights

You can update most of your details from your profile at any time. You can also ask us to:

  • give you a copy of the personal information we hold;
  • correct anything that is inaccurate;
  • close your account and delete what we no longer need to keep.

Canadian residents have these rights under PIPEDA; we extend them to everyone. If you are unhappy with our answer, you may complain to the Office of the Privacy Commissioner of Canada.

08Security

Passwords are stored only as salted hashes, sessions can be revoked, uploaded images are re-processed to strip hidden location data, and private files are served only to the people entitled to see them. No system is perfectly secure, so please use a password you do not use anywhere else.

09Changes and contact

We will update this page when our practices change, and tell you by email if a change is significant.

Questions about your privacy can be sent to The Gym Connect support, or by post to The Gym Connect Inc., Toronto, Ontario, Canada. See also our Terms of Service.
